Business Communication Topic: The Communication Process

To communicate is to exchange information, and the term 'communicate' comes from the Latin word 'Communis,' which means to share. Communication is the act of expressing facts, views, ideas, or emotions to another person. It is a process in which information is transferred between persons by using a standard system of symbols, signs, or behaviour shared by everyone.

There are two characters in the storey when it comes to business communications: a Sender and a Receiver. Communication may be defined as the exchange of information between two or more people in any form. It is necessary for the communication to be effective for the interchange of ideas and information to convey and understand the intended meaning.

Business Communication is defined as any communication that is used to conduct the business activity, such as the provision of products or services, to produce profits.

The following mind map will help you in understanding the communication process:

Characteristics of Interpersonal Communication

A two-way conversation is the most basic kind of communication. It is a continuous process that is widespread throughout nature. Besides facts, it contains thoughts and feelings and a gesture, sign, or symbol, among other things.

It is focused on achieving a goal. Both the sender and the receiver should be aware of the mutual aim of understanding the other party's message.

Understand the goal of the message and how to respond to it. It is a science that crosses several disciplines. Communication makes use of knowledge from a variety of scientific disciplines.

The Different Types of Communication in Business:

The following stages are included in the usual process of business communication. For this definition, "promotional communication" refers to any communication that tries to increase sales or profits for a company by using different mass media channels or even individually.

A business communication is in two ways:

Internal communication

External communication

Internal Communication:

When individuals inside an organisation interact with one another, this is called internal communication. Employees of an organisation operate as a team and achieve their joint objectives as quickly as possible.

Internal communication might take place officially or unofficially. Many different types of relationships may exist between people. It might be between individuals, between groups, between groups and individuals, between departments, and so on. Most internal communication is conducted orally, with the tone often being casual.

People also connect on a more intimate level inside the organisation. Informal communication is the term used to describe this kind of communication. A notable example is a grapevine, which may be found in some form or another almost everywhere. In a confidential business environment, the propagation of rumours and partial truths is more likely to occur.

External Communication:

External communication is used to describe when personnel inside an organisation communicate with someone or something outside of the organisation. Clients or consumers, dealers or distributors, the media, government agencies, the general public, regulatory organisations, authorities, and so on are examples of those who could be involved. External communication techniques include letters and circulars, price lists, manuals, purchase orders, customised reports, brochures and service calls, tender papers, advertisements, and customer feedback material.

Modern commercial organisations devote a significant amount of time, money, and effort to developing their public image because they recognise that they rely on external assistance. For the most part, external communication has been formal and well recorded, but there is a growing tendency toward making it more casual.

Ways of Communication:

The many modes of communication may be generally divided into the following categories:

Verbal communication refers to using words to transmit messages, whether or not they are spoken aloud or written down.

Nonverbal communication is a kind of communication in which messages are conveyed by body language (i.e., facial expressions and movements).

Verbal Communication:

It is a written or spoken communication that employs words to convey thoughts or information with another person or group of people. The words used in phrases, sentences, and paragraphs are chosen based on the objectives of the verbal communication and the effects it is attempting to accomplish. The following are the modes of verbal communication:

Visual communication

Written communication

Audio-visual communication

Oral communication

Non-verbal Communication:

It is an unsaid or unwritten communication that is sent via the use of body language. This may be used on its own, for example, while frowning or smiling at someone, or it can be used in conjunction with speech communication. The full range of body language, from big movements to close closeness to the listener, may be used to assist underline the message's contents. Apparently, when non-verbal communication is lacking, the receiver is left to assume what is being communicated. The following are examples of nonverbal communication:

Facial expressions

Eye contact

Gestures

Nodding the head

Movements

Physical appearances

Relevance of Business Communication:

Business success is influenced by communication and efficacy. The following factors make it clear that this is an absolute necessity: Its global operations will be successful only with a well-functioning system of communication.

Increasing Specialization: The efficient running of any company is dependent on the mutual collaboration and understanding of many divisions.

Advertisements, personal relationships, and publicity are crucial in the struggle for survival in today's cut-throat competition.

Effective communication between management and workers is essential to building mutual trust and confidence in human resources and public relations. Managers and union leaders benefit from solid relationships by regularly communicating information and ideas.

To this end, the company is required to keep the public informed about its social and environmental impact and the government, distributors, suppliers, investors, and other stakeholders. Businesses benefit from public relations by enhancing their public image, and large corporations hire public relations professionals to accomplish this goal.

Every work requires an ability to communicate effectively, and this talent is a personal asset. A few vocations need even more advanced communication abilities than the ones we have because of the nature of our work. Promotion in the workplace also requires sound verbal and written communication skills.

Flow of Communication:

A company's structure, ideology, and size all influence the flow of communication throughout the organisation. There may be fewer communication issues in smaller businesses because of construction. The procedure is more difficult in more prominent organisations with several layers of hierarchy. Communication may flow in one of the following ways:

Traditional companies have a hierarchical structure, so they are called vertical. All significant decisions are made at the top of the organisation. These are conveyed to employees at various levels of the organisation.

Upward Flow: Workers' contributions to industry development are now well understood. Upward communication has increased with the implementation of this strategy.

Flowing Diagonally: Diagonal communication is founded on mutual respect and collaboration.

People of the same rank/hierarchy in an organisation are more likely to communicate via horizontal flow.

Communication Barriers:

Misunderstandings and misunderstandings may have lasting impacts on one's personal and professional relationships. As a result of poor internal communication, the company may miss its goals or face significant delays in meeting them.

It is possible for communication breakdowns to be triggered by a variety of factors. The following are some examples:

Lack of planning

False assumptions

Ambiguity

Distortions

Passing Judgments

Implied meanings

Lack of Trust

Overcoming Communication Barriers:

To reduce impediments to communication, the following measures are worth considering:

Communicate According to the Need of the Receiver

Consult Others before Communication
